PRIVACY POLICY

Thanks for clicking through to our privacy policy. You’re in a very exclusive club. We know you’ve probably got a wedding to plan or a business to run, so we’ve tried to keep this as clear and painless as a privacy policy can be.
The short version: we treat your details with respect, we only use them for the reasons we tell you about, and we will never sell them to anyone. If you want the long version, pop the kettle on and read on.
WHO WE ARE
We Fell In Love is an independent Scottish wedding platform and supplier community. We share real Scottish weddings and love stories, run a directory of brilliant Scottish wedding suppliers, look after our supplier membership community (the WFIL Fam), host events, and send out newsletters.
The official bit: We Fell In Love is a trading name of Fin Joy Ltd, a limited company registered in Scotland (company number SC831972, VAT no GB498108260). Our registered address is The Old Forge, 28 Field Road, Clarkston, Glasgow, G76 8SE. Fin Joy Ltd is the “controller” of your personal information, which is the legal way of saying we’re the ones responsible for it.
If you have any questions about this policy or your information, email us at [email protected].
THE INFORMATION WE COLLECT
What we collect depends on how you use We Fell In Love.
If you submit a wedding or photoshoot: your name and your partner’s name, email address, wedding date and venue, your supplier list, your answers to our couple Q&A, and the photos sent by you or your photographer.
If you’re a wedding supplier or WFIL Fam member: your name, business name, contact details, website and social media links, business description, location, the photos and logos you send us for your listing, and your payment and membership records.
If you sign up to a newsletter: your email address, and any name you give us.
If you come to one of our events: your name, business name, contact details and any information you share when booking or RSVPing. We may take photos at our events too (more on that below).
If you get in touch: whatever you include in your email, message or contact form.
If you visit our website: your IP address, browser and device type, the pages you look at and when, and how you found us. This comes from cookies and similar tools, which we explain further down.
If you pay us by card: your card details go straight to Stripe, our payment provider. We never see or store them, which suits us fine because we’d only lose them down the back of the sofa. If you pay by bank transfer, we’ll see the name and payment reference that come through on our bank statement. We only use these to match your payment to your invoice, and we keep them as part of our financial records.
HOW WE USE YOUR INFORMATION AND WHY WE’RE ALLOWED TO
Data protection law says we need a lawful reason (a “lawful basis”) for everything we do with your information. Here’s what we do and the reason behind each.
Considering and publishing wedding features. We use your submission to decide whether we can feature your wedding, to get back to you either way, and to publish your story and photos on our website and social media. We rely on your consent for this, and you can withdraw it at any time.
Running the supplier directory and WFIL Fam. We use supplier details to create and manage directory listings, process memberships, share editorial and social opportunities, and keep in touch about your membership. Our lawful basis is our contract with you. Directory listings are public, so the business details you give us for your listing will be visible to anyone who visits the site.
Sending our newsletters. We send newsletters to people who have signed up for them, based on your consent. Every email has an unsubscribe link, and one click is all it takes.
Running events. We use your details to run events and send you the practical details you need. Our lawful basis is our contract with you or our legitimate interests in running the thing you’ve signed up for.
Replying to you. If you contact us, we use your details to reply. Our lawful basis is our legitimate interests in answering the folk who get in touch with us.
Understanding and promoting our website. We use analytics and advertising tools to see how people use our site and to show our adverts to people who might like what we do. Our lawful basis is our legitimate interests in improving and growing We Fell In Love. You can object to this at any time, and we explain how to block these tools below.
Keeping our records straight. We keep financial records because the law says we have to. Our lawful basis here is legal obligation.
SHARING YOUR WEDDING WITH THE WORLD
None of what we do would be possible without the couples who let us share their day and the photographers who let us share their work. We’re very grateful to every one of them.
We feature all kinds of love stories, and we’re proud of that. Sometimes a wedding feature naturally shows things like a couple’s sexual orientation, religion or ethnicity. The law treats this as “special category” information, so we only publish a feature when the couple has given us their explicit consent through our submission form.
If you’ve been featured and change your mind, email us at [email protected] and we’ll take your feature down within 21 business days. No awkwardness, no questions asked.
If you were a guest at a wedding we’ve featured and you’d rather not appear in the photos, get in touch and we’ll sort it.
We can’t control photos once they’ve been picked up by other sites such as Google Images or Pinterest, but we’ll remove them from everything we run.
PHOTOS AT OUR EVENTS
We sometimes take photos at our events and share them on our website and social media. If you’d rather not be photographed, let us know on the night or before you come and we’ll keep you out of shot. If a photo of you has been shared and you’d like it removed, just email us.
COOKIES, THE META PIXEL AND GOOGLE ANALYTICS
Cookies are small files that websites store on your device. We use them, along with a few similar tools, to understand how people use our site and to help us advertise. These tools load when you visit our website. You can block them, and we’ve explained how below.
Google Analytics tells us how many people visit our site, how they found us and which pages they look at. It helps us work out what’s useful and what’s gathering dust. Google processes this information on its own servers. You can read how Google uses data at policies.google.com/technologies/partner-sites, and you can block Google Analytics on every website with Google’s opt-out add-on at tools.google.com/dlpage/gaoptout.
The Meta Pixel is a wee bit of code from Meta, the company behind Facebook and Instagram. It lets Meta connect your visit to our website with your Facebook or Instagram account, so we can show our adverts to people who have visited us and see whether our adverts are working. So if We Fell In Love pops up in your feed after a browse of our real weddings, that’s the pixel at work, not us peering through your window. You can manage how Meta uses this information in your Facebook or Instagram settings under “Ad preferences”, and read more at facebook.com/privacy/policy.
Embedded content such as YouTube and Vimeo videos, Instagram posts and share buttons may set their own cookies when you view a page they appear on. These belong to the companies that run those services, so it’s worth checking their privacy policies too.
How to block cookies: you can block or delete cookies in your browser settings at any time, and most browsers let you block third-party cookies in particular. Search for “block cookies” along with the name of your browser for step-by-step instructions. Some parts of our site might not work quite as well if you do, but you’ll still be able to read all the good stuff.
WHO WE SHARE YOUR INFORMATION WITH
We will never sell your information. That’s not how we roll.
We do use some trusted service providers to help run We Fell In Love. They only get the information they need to do their job, and they’re only allowed to use it for that job. They include:
- Krystal, our website host
- Sprout Studio, for managing enquiries, bookings and emails
- Mailchimp, for our email newsletter
- Stripe, for processing payments
- Google, for website analytics
- Meta, for advertising on Facebook and Instagram
- our accountant, for our financial records
When we publish a wedding feature, we credit and link to the suppliers involved. That’s part of what a feature is, and the reason suppliers love being included.
We may also share your information if the law requires it (for example, a court order), to prevent fraud or crime, or to protect the rights and safety of our community. If we ever sell or restructure all or part of the business, your information may pass to the new owner, who would have to look after it in line with this policy.
SENDING INFORMATION OUTSIDE THE UK
Our website is hosted in the UK, but some of our service providers, including Google, Meta, Mailchimp, Stripe and Sprout Studio, store or process information outside the UK, mainly in the United States and Canada. When this happens, we make sure the transfer is protected by the safeguards UK law requires, such as UK adequacy decisions, the UK-US data bridge or approved contract clauses.
HOW LONG WE KEEP YOUR INFORMATION
We only keep your information for as long as we need it:
- Wedding submissions we don’t feature: 12 months, then deleted.
- Published wedding features: for as long as the feature is live on our site, unless you ask us to remove it.
- Supplier and WFIL Fam details: for as long as you’re a member or listed in our directory, plus 12 months after.
- Payment and financial records: six years after the end of the financial year they relate to, because the law requires it.
- Newsletter subscribers: until you unsubscribe.
- Event bookings and RSVPs: six months after the event.
- Emails and enquiries: up to two years after our last conversation.
- Website analytics: 14 months.
YOUR RIGHTS
It’s your information, and the law gives you some rights over it. You have the right to:
- access it: ask for a copy of the information we hold about you
- correct it: ask us to fix anything that’s wrong or incomplete
- delete it: ask us to erase your information
- restrict it: ask us to pause using your information while something is sorted out
- object: tell us to stop using your information where we rely on our legitimate interests, including for analytics and advertising
- take it with you: ask for your information in a format you can pass to someone else
- withdraw your consent: wherever we rely on your consent, you can change your mind at any time
To use any of these rights, email us at [email protected]. We’ll respond within one month. It’s free, and we may ask you to confirm who you are before we hand anything over, to make sure your information doesn’t end up with the wrong person.
HOW TO COMPLAIN
If you’re unhappy with how we’ve handled your information, please tell us first and give us the chance to put it right. Email [email protected] with “Data protection complaint” in the subject line. We’ll acknowledge your complaint within 30 days, look into it properly and promptly, keep you updated, and let you know the outcome.
If you’re still not happy, you have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator. You can contact them at ico.org.uk/make-a-complaint or on 0303 123 1113.
KEEPING YOUR INFORMATION SAFE
We take sensible steps to keep your information secure, including password-protected accounts, limiting who can access it, and using reputable service providers. Card payments are handled by Stripe, so your card details never touch our systems.
No website or email is completely secure, so we can’t promise that nothing will ever go wrong. If something does, we’ll deal with it quickly and let you and the ICO know where the law requires us to.
If you have a password for any part of our site, please keep it to yourself. Even if someone offers you a very good espresso martini in exchange.
LINKS TO OTHER WEBSITES
We link to lots of other websites, especially our brilliant suppliers. This policy only covers We Fell In Love, so it’s worth checking the privacy policies of any other sites you visit.
CHANGES TO THIS POLICY
We’ll update this policy when the way we use your information changes or the law does. The latest version will always live on this page, and if we make a big change that affects you, we’ll let you know.
This policy was last updated in October 2026.
