Our top five tips

These are our top five wedding admin tips. The things that we think you really need to know. They’ll help guide you through some common pitfalls and you can avoid making the same mistakes. Trust us. Our team here (Hi, Hello – that’s us!) live and breathe weddings as a wedding planner and wedding photographer.

1 – BUDGET TRACKING

Let’s start with a biggy. The budget. Whether you’re planning an elopement or a big old shindig you’re going to need to spend some money and you’ll need to decide how much to spend too.

A tracker is essential for helping you stay within your budget. You don’t need anything fancy, a simple spreadsheet will be fine. You just need to keep it up to date and note down your spending. 

2 – HIRE THE PROFESSIONALS

You will have been told time and again to do your research when it comes to your suppliers. To check out portfolios and read reviews. And that is solid advice. However, as well as ensuring they take great photos or can create the perfect bouquet, you also need to know that they have all the important stuff covered. Have they got appropriate insurances – public liability for example – in place for the work they’re doing?

Any good, reputable supplier will have all this to hand to show you if you ask them. They might even volunteer the info themselves. If they don’t have any insurance, or refuse to show you, then walk away. Trust us.

3 – CHECK OUT THE CONTRACTS

Along with insurance, any professional supplier will have a contract for you to sign. If they don’t, well, we refer you to the last paragraph of ‘tip 2’. 

However, it’s not just enough to sign that contract. We’ve all done it, let’s be honest. Signed those papers or ticked the box without reading anything on it. Well, stop right there. Go back and read over the paperwork. When it comes to wedding contracts you need to understand what you’re agreeing to. Take that wee bit of extra time to read through before you sign. You won’t regret it. 

4 – WEDDING INSURANCE

Get it. Enough said. 

Ok, we’ll say a bit more. Seriously, please please please take out wedding insurance. It will cover you for those unforeseen things that may very well crop up and run your day. It’s rare, but it happens. You remember 2020 right?! The country was brought to a standstill. Do you really want to invest all this time, money, and energy into your day to have the unexpected wreck it all?

5 – KEEPING TABS ON GUESTS

No, not in a stalker way… brace yourselves, it’s another spreadsheet! 

Spreadsheets are boring, we get it. But when it comes to remembering if Cousin Jamie was invited to the full day or evening, and if Auntie Joan requested the veggie meal, this guestlist tracking spreadsheet will be your best friend. 

It doesn’t have to be anything elaborate. Just break it down into type of invitation, replies, and any other vital info, and you’ll find it much simpler to keep on top of.
